Information & Frequently Asked Questions
Who can join? There are two types of membership:

Free (Ordinary) membership is available to

Staff of Oxford University and Colleges and certain associated institutions such as Oxford University Press

All retired University and College Staff (inlcuding partners/spouses) irrespective of University Card status

Persons registered as graduate students
Visitors, temporarily in residence or undertaking advanced study or fulfilling contractual obligations to the University.

Other (Associate) Membership costs £25 per year and can be applied for by:

Family of members. Membership for these applicants will only be withheld in extreme circumstances but is at the discretion of the General Manager of the Club.

Those who do not fall into any of the above categories but have a specific link with the University may apply in writing for membership outlining their connection and where appropriate supplying supporting signatures of existing members. Membership for these applicants is at the discretion of the General Manager of the University Club in consultation with the University Club Management Committee (UCMC).
The determination of eligibility rules for membership and membership fees including the waiving of said fees are at the discretion of the General Manager in consultation with the University Club Management Committee, and they retain the right to change them at any time.

How do I remove one or more of my email addresses from the Club mailing list?

, requesting the address/addresses to be removed from the mailing list. You will receive a confirmation email once this is done. Please remember to quote the seven digit membership number on your card.
2. Visit the club reception with your membership card. They will be able to make the changes for you.
My membership has been suspended, what do I do?
Your membership will be suspended after a certain grace period if you have outstanding membership fees or if your swipe card is out of date. Please visit the Club reception during reception opening hours (8am-4pm Mon- Fri) if you wish to reactivate your membership.
I joined the club many years ago, am I still a member?

My university card says undergraduate - can I join?
Generally, you can’t. However, in circumstances where your college treats you as equivalent to a Graduate, club rules allow us to admit you to Ordinary Membership. You will need to present written proof from your college that they treat you as equivalent to a Graduate at club reception to join; you cannot use the on-line form.
Why is there a membership delay?
This is due to licensing condition; your membership will not become active until 48 hours after you have either
o submitted the on-line form with a valid university card number
o submitted the form and visited the club to pay any membership fees and/or collected a club-issued swipe card
How do I get into the club?
Entry to the club is by swipe card. If you have a university card then this will be used for entry to the club. If you do not then we can issue you with a club swipe card. Please note that we will require a £5 returnable deposit for any swipe card that we have to issue. This will not be returned if your card is lost. If you have an OULS/Bodleian Readers Card then we can enable that on our system instead (for free). Please bring it with you when you visit the club to activate your membership
I am a fourth year undergraduate/doing my second BA, can I join?
In circumstances where your college treats you as equivalent to a Graduate, club rules allow us to admit you to Ordinary Membership. Frequently Asked Questions about joining the University Club for AOUP members (All Oxford University pensioners and their spouses and partners or surviving spouses and partners as well as social members of the AOUP)
1. Am I eligible to join the University Club?
You are eligible to join the University club as a pensioner if you fall into one of the four categories below:
1. Retired from working for the University and in receipt of USS or OSPS pension. (Eligible for University Card)
2. Retired from working for a College and in receipt of College pension. (Eligible for a University Card)
3. A spouse /partner or a surviving spouse/partner of someone in category 1. (Not eligible for a University Card)
4. A spouse/partner or a surviving spouse/partner of someone in category 2. (Not eligible for a University Card)
2. What do I need to do to join The University Club?
Category 1 & 2
All prospective members in categories 1 and 2 need a valid University Card to join the club. If you do not have one, please contact your previous department or college, who will be able to issue you with one. If your department or college no longer exists, please contact the Pensioner Welfare Officer Marie Hawksby on 01865 616203
Once you have your University Card, there are three ways you can complete a membership application form:
- Visit the University Club reception.

- Online: Complete the form in the membership section of the University Club website
Category 3 & 4
If you are a prospective member who is a spouse/partner, or a surviving spouse/partner of an Oxford University Pensioner, you can apply for membership by completing a membership application form.
- In person: Visit the University Club to complete an application form.

- Online: Complete the form membership section of the University Club website www.club.ox.ac.uk
When the club has received and verified your application form and has accepted you as a member, it will issue you with a Club Membership Card for a £5 deposit. The deposit will be refunded when you return the card.
3. Is membership free?
There is no membership fee for AOUP members (ie: all Oxford University pensioners and their spouses and partners or surviving spouses and partners as well as social members of the AOUP)
If you are eligible for University Club membership as a pensioner but cannot obtain a University Swipe card through an old department/college (category 3 & 4 under question 1), the Club will issue you with a membership card upon payment of a £5 deposit. The deposit will be refunded when the card is returned to the club.
4. I am not sure if I am (still) a member of the University Club
If you have a valid University Card, please phone University Club reception on 01865 616203, who will be able to verify if you are still a member.
